Where will my virtual assistant be located?

What hours do virtual assistants work?

Our virtual assistants typically work conventional business operating hours: 8 am – 5 pm, Monday to Friday. Our experienced virtual assistants have the flexibility to set their own hours and will work with you to determine what works best for you and your needs. Because our virtual assistants don’t have a physical presence in your office and are located in Canada and the United States, their availability runs across time zones from AST to PST.

What is a virtual assistant (VA)?

A virtual assistant is a self-employed professional that can provide specialized support to clients from a remote location, such as a home office or co-working space.

We offer our services on a monthly subscription basis, and the monthly rate depends on the number of hours you need. Are there any specific tasks that my virtual assistant is unable to perform?

Though our VAs are highly skilled and well-versed, there are some instances where we are unable to directly assist due to a combination of legalities and domain expertise requirements. If this occurs, your client success manager will gladly assist with sourcing qualified individuals to help the success of your organization!

What kind of turnaround can I expect on my tasks?

It’s important to work with your VA to establish clear and realistic deadlines for your tasks. Your VA will strive to meet or beat all deadlines. If they are unable to do so, contact your client success manager, who will search in our talent pool for a backup VA to assist..

Though we do our best to match you with the best virtual assistant for your needs, sometimes needs change or . If this happens, reach out to your client success manager to discuss the situation. This helps us better understand your needs and coach our virtual assistants to improve their performance. Your client success manager will assign a Virtual Assistant that is a better choice for your organization.

Do I need to sign a contract?

No! The great thing about Virtual Gurus is that we don’t require any long-term contracts. We do have a service agreement, but this is not any kind of long-term or employment contract.  Because we’re considered a month-to-month subscription service, all we need is a 30-day notice for cancellation. This ensures smooth offboarding for both you and our VAs.

Confidentiality & Security

How do you deal with confidentiality?

A lot of our VAs work with startups, technology companies and even medical offices. Many times these organizations require an NDA to be signed between them and their VA(s). If you feel an NDA is needed, our VAs understand and are comfortable with this process.

Do you provide background checks?

No, due to having VAs working in many jurisdictions throughout Canada and the US, we don’t directly provide them. However, If you require it you can request the VA get a police check before they work for you.

How do I know that using a virtual assistant is safe? How will they access my accounts and manage my passwords?

We recommend a free password management software, equivalent to a password vault. This way, your dedicated VA can securely access your accounts without seeing your username, password, or PIN information.

Our preferred password management software is LastPass, but we’re happy to use whatever solution works best for you!


Becoming a Virtual Assistant

Do I need to manage client invoices and billing?

No, we handle that for you! Just record your hours in our project management system and we’ll manage your payments on a bi-monthly basis.

Is there a time commitment requirement?

We onboard virtual assistants who have at least 20 hours of day-time availability per month. Like any role, each specific client that you have many requires specific time.

Are VAs employees of Virtual Gurus?

No, you are a subcontractor and will need to sign an agreement. This means you’re responsible for your own equipment and paying your taxes.

How long does the VA onboarding process take?

It can take up to a month.
